How to Set Up the Russell Kennedy Support at Home Agreement

I. Overview of the Russell Kennedy - Support At Home Agreement

II. Required Configuration
Complete the configuration below and enter all required data to ensure it is accurately reflected in the Russell Kennedy Support at Home Agreement.

A. Participant Details Section

1. In the participant's Detailed Profile section, enter their first name, last name, and date of birth.


2. Add contact details: landline number (if applicable), mobile number, address, and email.

3. In the client's profile, under the Contacts & Connections section, specify the authorized representative(s) by providing their full name, address, phone number, email, and type of authority.

4. In the client's profile under, Contacts & Connections, add any supporters registered with the system governor if applicable. Include each supporter's full name, address, phone number, email, type of authority.

B. Registered Provider Details Section

1. In the left-side navigation pane, go to Settings > General Config. Under the Organisation Details section, specify the organisation name, ABN/ACN, and phone number.

C. Services Section

1. If services are not yet set up, or if you want to create a new service, go to Settings > Services, click +Create New Service Offering, specify the name of the service and complete the required fields, then save.

2. If the service is available to contractors, tick the Available for Contractors checkbox.

3. In client quotes, specify any service provided to the client (whether delivered regularly or as a one-off) clearly indicating the frequency and applicable billing rates. Make sure the rates associated with services are updated based on your existing rates.


D. Price Increase Section

Please provide your preferred content to the CareVision team for the Price Increase section. The draft should specify the method of implementation, the reason for the price increase, and the effective date of the new pricing. Please see the sample section above for reference.

E. Service Contributions Section

Financial Status

Configure Group Sets

1. In the left navigation pane, click Settings.

2. Click Client Groups.

3. Select Group Sets.

4. Click +Create Group Sets.

5. Set the Name of Group Set field to Financial Status.

6. Set the Description field to this exact text:

You may be required to contribute to the Services you receive, by paying a Service
Contribution at the rates prescribed by the Aged Care Act and set out in your
Services Australia assessment (if any). Your Service Contribution Rate depends on
your means and may change over time.

7. Tick the Minimum Data Set box.

8. Click Save.

Configure Client Groups

1. Select Client Groups.


Client Group 1: Services Australia Assessment Received

1. Click +Create Client Group.

2. Set the Client Group Set field to Financial Status.

3. Set the Name and Client Group Reference fields to this exact text:

Services Australia assessment received

4. Click Save.


Client Group 2: Services Australia Assessment Pending

1. Click +Create Client Group.

2. Set the Client Group Set field to Financial Status.

3. Set the Name and Client Group Reference fields to this exact text:

Services Australia assessment pending


4. Set the Description field to this exact text: The maximum Service Contribution Rate set out in clause C3 applies until we receive your assessment. Any overpayment will be refunded to you once we receive your assessment.

5. Click Save.


Client Group 3: Means Not Disclosed

1. Click +Create Client Group.

2. Set the Client Group Set field to Financial Status.

3. Set the Name and Client Group Reference fields to this exact text: Means Not Disclosed


4. Click Save.


Client Group 4: Pre-12 September 2024 Care Recipient

1. Click +Create Client Group.

2. Set the Client Group Set field to Financial Status.

3. Set the Name and Client Group Reference fields to this exact text: Pre-12 September 2024 Care Recipient

4. Set the Description field to this exact text:

Service Contribution will be determined by Services Australia in accordance with the rules for Transitioning Care Recipients.

5. Click Save.


Verify Client Groups

When you go to the client profile, under the Client Groups section, you’ll find the group set you created named Financial Status, which includes the four client groups:
  1. Services Australia Assessment Received
  2. Services Australia Assessment Pending
  3. Means Not Disclosed, and
  4. Pre-12 September 2024 Care Recipient
Select the option that best reflects the client’s financial status, enter the joined date, and then click Save. Your selection will be included in the agreement.

Contribution Rates
When creating quotes, specify the contribution rates. For more information, see section D. Manage Funding Allocations and Co-Contributions.

Fee Reduction Supplements

Configure Group Sets

1. In the left navigation pane, click Settings > Client Groups.

2. Select Group Sets.

3. Click +Create Group Sets.

4. Set the Name of Group Set field to Fee Reduction Supplement.

5. Set the Description field to this exact text:
If the Government assesses that you are eligible for a Fee Reduction Supplement, this will reduce the Service Contributions you need to pay.

6. Tick the Minimum Data Set box.

7. Click Save.

Configure Client Groups

1. Select Client Groups.

Client Group 1: "Yes"

1. Click +Create Client Group.

2. Set the Client Group Set field to Fee Reduction Supplement.

3. Set the Name and Client Group Reference fields to this exact text: Yes. 

Then, click Save.

Repeat the same steps for Client Group 2: "No"

Repeat the same steps for Client Group 3: "Pending"

Verify Client Groups

When you go to the client profile, under the Client Groups section, you’ll find the group set you created named Fee Reduction Supplement, which includes the three client groups:
  1. Yes
  2. No 
  3. Pending
Select the appropriate option for the client, enter the joined date, and then click Save. Your selection will be included in the agreement.

E. Paying your Service Contributions and Fees Section

Payment Method

Configure Group Sets

1. In the left navigation pane, click Settings > Client Groups.

2. Select Group Sets.

3. Click +Create Group Sets.

4. Set the Name of Group Set field to Payment Method.

5. Set the Description field to Payment Method.

6. Tick the Minimum Data Set box.

7. Click Save.

Configure Client Groups

1. Select Client Groups.

Client Group 1: Direct Debit

1. Click +Create Client Group.

2. Set the Client Group Set field to Payment Method.

3. Set the Name and Client Group Reference fields to this exact text: Direct Debit

4. Then, click Save.

Repeat the same steps for Client Group 2: Centrepay

Repeat the same steps for Client Group 3: Other

Verify Client Groups

When you go to the client profile, under the Client Groups section, you’ll find the group set you created named Payment Method, which includes the three client groups:
  1. Direct Debit
  2. Centrepay
  3. Other
Select the appropriate option for the client, enter the joined date, and then click Save. Your selection will be included in the agreement.

Payment Cycle

Configure Group Sets

1. In the left navigation pane, click Settings > Client Groups.

2. Select Group Sets.

3. Click +Create Group Sets.

4. Set the Name of Group Set field to Payment Cycle.

5. Set the Description field to Payment Cycle.

6. Tick the Minimum Data Set box.

7. Click Save.

Configure Client Groups

1. Select Client Groups.

Client Group 1: Monthly

1. Click +Create Client Group.

2. Set the Client Group Set field to Payment Cycle.

3. Set the Name and Client Group Reference fields to this exact text: Monthly

4. Then, click Save.

Repeat the same steps for Client Group 2: Weekly

Repeat the same steps for Client Group 3: Fortnightly

Verify Client Groups

When you go to the client profile, under the Client Groups section, you’ll find the group set you created named Payment Cycle, which includes the three client groups:
  1. Monthly
  2. Weekly 
  3. Fortnightly
Select the appropriate option for the client, enter the joined date, and then click Save. Your selection will be included in the agreement.


F. Service Period Section

Transfer from another provider?

Configure Group Sets

1. In the left navigation pane, click Settings > Client Groups.

2. Select Group Sets.

3. Click +Create Group Sets.

4. Set the Name of Group Set field to Transfer from another provider?

5. Set the Description field to Transfer from another provider?

6. Tick the Minimum Data Set box.

7. Click Save.

Configure Client Groups

1. Select Client Groups.

Client Group 1: "Yes"

1. Click +Create Client Group.

2. Set the Client Group Set field to Transfer from another provider?

3. Set the Name and Client Group Reference fields to this exact text: Yes

Then, click Save.

Repeat the same steps for Client Group 2: "No"

Verify Client Groups

When you go to the client profile, under the Client Groups section, you’ll find the group set you created named Transfer from another provider?, which includes the two client groups:
  1. Yes
  2. No 

When Services commence
In client quotes, specify the date when the client’s Support at Home package funding begins.

When Services end
In client quotes, specify the Ends On field if applicable. This is the date when the client’s current package funding finishes. Leave it blank if funding is ongoing.

G. Short-term Supports Section

This section records whether the client’s quote includes any of the following funding sources: Assistive Technology, Home Modifications, Restorative Care, or End-of-Life Care.

H. Extra Conditions Section

Extra Conditions

Configure Group Sets

1. In the left navigation pane, click Settings > Client Groups.

2. Select Group Sets.

3. Click +Create Group Sets.

4. Set the Name of Group Set field to Extra Conditions.

5. Set the Description field to Extra Conditions.

6. Click Add to add a field label. This will insert a line where the user can enter the reason for the extra condition. The user can type in the specific condition as needed.

7. Set the Field Label to Extra Condition Details.

8. Tick the Minimum Data Set box. Then, click Save.

Configure Client Groups

1. Select Client Groups.

Client Group 1: "Yes"

1. Click +Create Client Group.

2. Set the Client Group Set field to Extra Conditions.

3. Set the Name and Client Group Reference fields to this exact text: Yes. 

Then, click Save.

Repeat the same steps for Client Group 2: "No"

Verify Client Groups

When you go to the client profile, under the Client Groups section, you’ll find the group set you created named Extra Conditions, which includes the two client groups:
  1. Yes
  2. No 

For example, when you select Yes for extra conditions, the Extra Condition Details field will appear.

You can enter text to specify the particular extra condition.


Select the appropriate option for the client, enter the joined date, and then click Save. Your selection will be included in the agreement.

This is the date the quote was downloaded.
