Understanding Funding Sources, Budget Allocation, and Care Plan Changes

Q: How does Budget Allocation work compared to Care Plan changes?

A: Budget Allocation is set at the Funding Source level and represents a planned distribution of funds. It remains consistent even when the Care Plan is updated.

A Quote is created to plan services and costs. When the Quote is Accepted, it becomes a Care Plan, which then generates Scheduled Services.

When a client is due for renewal or there is a significant change to their plan, a new Quote can be created through a process known as a Requote. The Quote is prefilled with the existing Funding Source, fees, and recurring services from the Care Plan. As part of the Requote, end date the current Funding Source, fees, and recurring services, then add the updated items to the Quote as needed.

Once the client accepts the Quote, the system generates a new Funding Source setup, a new Care Plan, and new Scheduled Services. In this scenario, Budget Allocation can change, but only as a result of the new Quote being accepted, not from updates made directly to the existing Care Plan.


Q: Why doesn’t Budget Allocation reflect real-time changes in Scheduled Services?

A: Budget Allocation represents planned funding.

  • Scheduled Services represent planned future services

  • Claims represent completed services

Only Claims reduce the Funding Source. Changes made through a Care Plan update future services, while Budget Allocation continues to reflect the planned structure of funding.


Q: Is there a way to see the true available Funding Source?

A: Yes. The Funding Sources section in the Client Profile provides a view of a client’s funding, including current balances, previous records, and future allocations. It allows you to filter, review, export, and manage funding items efficiently.

Next, the Funding & Budget Management Dashboard shows Funding Source, Budget Allocation, and planned spending of various clients over a selected period.
