Missing or Unable to Select Billing Categories on Care Plan

Things to check if there are missing or unable to Select Billing Categories when creating a Care Plan

  1. In this scenario we used a different Service, Funding Source and Billing Category.
  2. This basic troubleshooting guide is also applicable to Billing Categories that are commonly "missing", but just need to verify the setup before actually adding them to the Care Plan Items (Recurring Services).

Service Template

Selected Service - verify if the Billing Categories and Line Items are pre-selected here.

Settings > Services - to view Service Templates, then look and select the Service that you are looking for, then open to check setup.
 
 
  
                                    
Status - Make sure that the Status of the Service is set to Active



Primary Billing Category                                                  
  

Add Billing Category - if there are none




Primary Billing Category - select applicable Billing Category for the Service

  
                                             

Effective From Date - mandatory




Effective To Date - should be left blank to keep the Billing Category Active. Setting a date here will end the Billing Category from being active and will be removed from the Service Template
  

Special Billing Categories - select applicable for below: 
 

                                          - Distance Traveled with Client

                                          - Callout Fee

                                          - Sleepover


Active by Default? checkbox - if enabled, it will automatically tick and select the checkbox of the Billing Category after selecting the Service on a Care Plan or Adhoc booking


Line Items - make sure below are selected by clicking ADD LINE ITEM button.


- Visit Duration - associated with Primary Billing Category, rate of the service. This is always required.

- Distance Traveled With Client - associated with Distance Traveled With Client billing category.

     

- Callout Distance - associated with Call-out Fee billing category.

  

- Sleepover - associated with Sleepover billing category.

 

                                                       
Don't forget to SAVE all the changes on Service Template.

Funding Source Templates

Settings > Funding Sources
  

Look for the Funding Source template you are planning to add to the Client.

Make sure that required fields are populated - fields with asterisk* indicates mandatory fields

- Services and Billing Categories Restriction

- Enable Restrict Services and Restrict Billing Categories checkboxes to be able select Services and Billing Categories applicable to the Funding Source.



Services - tick the applicable Service
 

Billing Categories - tick whichever is applicable
  
                                                           

Services and Billing Categories Default Values

 Keep the checkbox ticked from Services and Billing Categories Restriction to be able to copy selected values here.

Once you have selected the applicable Services and Billing Categories for the Funding Source, click on Copy Restriction Values on both Services and Billing Categories. It would copy what you have selected from the restriction section.

 

Once Services and Billing Categories Restriction and Services and Billing Categories Default Values have now the same values, remove the check on the checkbox. And this will also disable Copy Restriction Values button.

Save the Funding Source

Client Funding

People > Client > Client Profile

Funding Sources > Select or Create New Funding Item - Make sure the details are complete:

Start Date

End Date - leave this blank to apply the funding continuously to the Client


Services dropdown - Just like in Funding Source setup, make sure that the applicable Service is also ticked here.

-Make sure that the Service that has been set up appears here.

-Select the Service that was set up.

  


Billing Categories dropdown - Just like in Funding Source setup, make sure that the applicable Billing Category is also ticked here.

- Make sure that the Billing Categories that has been set up appears here.

- Select the Billing Categories that were set up 

 


Make sure the applicable Funding is saved on Client's profile.
 

Once you have checked everything here and made sure that the setup is correct, you can now proceed on adding the applicable Services and Billing Categories to clients' Care Plan.
