Using the "Auto Schedule" Feature to Create your Staff Roster

Overview

The Auto Schedule feature on the CareVision Management Portal's Scheduling Area allows Coordinators to take all unscheduled bookings and match them with the appropriate Staff Member. This will be based on their Work Availability schedule (if they are available on the day of the actual booking)  their Skill Set, whether or not they have the right Skills and Qualifications to fulfill the booking, and if they have sufficient time to travel between bookings.

 

Criteria for Auto Scheduling

When using the Auto Schedule feature on the portal's Scheduling Area, it is important to keep in mind the following:
  1. Take note if the Client has chosen a Preferred Carer to deliver a particular Care Plan or service.
  2. Ensure that the Preferred Carer's Work Availability matches the schedule entered on the Client's Care Plan. You can do this by either checking the staff's work schedule on their profile or simply looking at the staff's scheduling section on the Scheduling Area. If the staff's current schedule doesn't fit the Care Plan, the Care Plan will remain Unscheduled and will not be allocated to the Preferred Carer even after you click Auto Schedule.
  3. In the event that the service from the Care Plan has a Preferred Carer but overlaps with an earlier booking, the services remains under unscheduled
  4. Just like the staff's Work Availability Schedule, you also have to make sure that the Preferred Carer has the right Skills and Qualifications needed for the Care Plan. Otherwise, the Care Plan will remain Unscheduled as well and will not be given to the Preferred Carer regardless of their work schedule.
  5. If the Preferred Carer doesn't have both Work Availability and Skills recorded, they won't be assigned to any Care Plan or service.
 

Step-by-Step Guide

From the Portal's menu tab, go to Teams. Then, select Scheduling.


On the Scheduling Area, you will find the current unscheduled bookings. To match them with the proper staff and schedule, click on the Auto Schedule button found at the top right corner.


The Schedules are now matched to the best possible staff and schedule for easier accommodation. Click Publish in the top right corner to publish the schedule to workers.
