Publishing your Staff Roster

Publishing your Staff Roster

Overview

The Scheduling area is where you will organise and publish out the roster to your staff. As you allocate bookings to Staff Members, it is necessary for Coordinators to publish their Staff Roster. Doing so will finalise the bookings and schedules assigned to each staff, as well as the bookings created for a Client.

The bookings can be published either in bulk or individually. The section below will introduce you how you can do that on the Management Portal.

If you have set up clients' preferred carers who are qualified and available, you can auto-schedule the bookings. For more information, please read Using the "Auto Schedule" Feature to Create your Staff Roster.

Step-by-Step Guide

1. From the CareVision Management Portal, go to Teams. Then, select Scheduling.

2. Make the necessary booking allocations on the Portal's Scheduling Area by clicking the "i" buttonon a booking.

3. The details of the Client's Care Plan will then appear. Here, select Scheduling Recommendations. Doing so will show you a list of Staff Members who are currently:
  1. Qualified and Available
  2. Qualified and Available for Emergency
  3. Qualified and Working on Day
  4. Qualified but Not Working on Day

Conflicts
Scheduling conflicts occur when a Staff Member doesn't meet the qualifications and schedule needed to deliver a service. It is ideal to pick a Staff Member whose Work Availability coincides with the service. Also, it is important that the Staff has the right skills and qualifications to be able  to complete their jobs and tasks efficiently.

4. Once you've allocated the service to a Staff Member, click on the Publish button in the Scheduling Area.

5. A separate window will then appear showing you the current roster of Staff Members that have been allocated a booking. Feel free to undo individual items that you have changed or updated while confirming your Staff Roster by clicking on the Undo icon. Doing so will not save the changes you have made for a particular service, especially if you have allocated one to a specific Staff Member.

6. Once you're satisfied with your Staff Roster, hit Publish to finalise.

7. View all allocated bookings and assigned Staff Members in the portal's Scheduling Area. In case of Scheduling conflicts, you can drag and drop the bookings to move them on a different time or allocate them to a different staff.
