Overview
Auto scheduling allows organizations to manage the assigned carers who can work on the services for the clients. Based on the size of the organisation, it can be quite a tedious task in managing a whole staff roster in which the staff members have different sets of skills and qualifications. Moreover, clients may have preferred carers, carers who are familiar to them or those who have worked on their previous services.
In order to match the work availability of the staff and the needed skills and qualifications for the services in order to support the client’s daily needs, this feature can automate the assigning of the services to qualified and available staff.
Terminologies and Key Concepts:
In order to dive in deeper on understanding how the scheduling works, these are the following key concepts and features on CareVision:
Scheduling Recommendation
CareVision will show you a list of qualified and available staff. This allows the scheduling team to select a client’s preferred carers from the list. It also can also show qualified and not available staff, if there are any.

Preferred Carers
The scheduling team can select the staff from a list of staff members which has the required skills and qualifications as the preferred carer.
Unscheduled bookings
The auto-scheduling will apply to all unscheduled bookings. These bookings are the ones that are not yet assigned to any staff member.
Auto Schedule Rules and Weightings
The table below displays the rules that are used in sorting and filtering the preference of staff and auto-scheduling to the best scoring staff member. This also impacts the order of the auto-schedule.

Steps to do auto-scheduling
Go to Schedules. Select Teams.
Click on the AUTO SCHEDULE button at the topmost part of the page.
What if there are scheduling conflicts?
We understand that there may still be needed adjustments to be made by the scheduling team in cases where there are still conflicts on the schedules which might be due to changes on the schedules, staff has not accepted their bookings leading to no preferred carer for a specific care plan / service booking, and many other reasons. You may be required to manually schedule these bookings.
