Support At Home Transition


The transition to Support at Home is nearly here, we are tracking the days and hours to launch, and its time to start moving on the plans to help your team be operational and as ready as possible.

With the department still releasing rules and guidelines about the change, many questions still remain unanswered. It is natural in this state of uncertainty to be nervous about the journey ahead, but we are here to help you with that process as much as we can.

The email below and relevant attachments contain important information to help you with your planning and execution of the change to Support at Home, and how we can effectively work together to make this transition as smooth as possible. Key items include:
  • Communication Channels and Subscribing to Updates 
  • How we will Publish key documents and changes
  • Overview of key documents and resources 
  • Targets and Timelines for your Project Team till July 1 
  • Optional add on offers from CareVision and how to sign up for them
Your team will need to make a range of configuration changes and set up changes in line with the support at home plans. We have documented guidance on these steps to allow your teams to do this, and have existing knowledgebase content. If, however, you do not have confidence to make these changes safely in your account, then you can reach out to us to assist with these steps on a paid, time, and materials basis. However, note there is limited availability and your team will need to ensure you have completed required steps, planning, and decisions for this to occur.

Support At Home - Communication Channels 

Weekly Project Email Update - Each week we will email out updates on progress for the week and reminders about what should be completed next week. This will include additional guides and documentation about new functionality. 

Subscribe for Sandbox Release Announcements - We have set up a new email group to subscribe to Sandbox Release Announcements, these are usually published within 24 hours of items being released to Sandbox. It is important to subscribe to this email group so your team can test out new functionality on Sandbox as soon as possible. Subscribe here. Make sure you check your emails to confirm subscription after you have signed up, it is a 2-step process. 

CareVision Academy Knowledgebase - We have set up a category on the knowledgebase dedicated to Support At Home Transition. We strongly recommend that you follow this category on the support desk for real time updates to related documentation. Read this article which explains how to follow a knowledgebase topic/category. 

Submit Feedback and Questions via Guided Conversations or Support Tickets with Tags - We need your help to make sure your questions get to the right people faster. We recently rolled out our new Support Chat and guided process for raising requests. We have added a workflow to this for raising feedback relating to Support at Home items, and encourage you to use this. Alternatively, you can also go directly into the My Area of the Knowledgebase and log your ticket with details. Please include the category for Support At Home on your request so it is routed to the right team. We may respond directly to your query or include it in a wider update to all users and let you know.

Support At Home - Transition Guideline 

We have prepared a Transition Guide Document which will be updated from time to time throughout the coming weeks. This document includes: 
  • Phases of Roll Out 
  • Weekly Timeline to July 1 - VIP Reading for project teams 
  • Scope of Roll Out including: 
    • Service Lists, Categories, Billing Categories 
    • Tooling to assist you migrate your data 
    • Pricing considerations and functionality to help you price your services 
    • Updates to Funding Sources to support co contribution allocations, funding management, and claiming 
    • Combined service bookings made up of various sub items 
    • Invoicing, claiming, and quote calculation updates 
    • Issuing Statements 
    • Care Management pooled funding and managing case management time billing 
These documents will be updated with more detail and specifics as items get closer to release. This document is your main guide for making the transition smooth.

Support At Home - Template Config Workbook

The Config Workbook is an Excel document we use during implementations to plan out and stage your organisations specific configurations. It is a tool that helps us plan effectively before making changes to the live system. Each tab of the workbook represents a key area of configuration. 

We have prepared a template configuration workbook that will be published on the knowledgebase here at any moment. Follow this page for updates. This document contains the proposed standard configurations for support at home and CHSP organizations. It is subject to updates regularly over the coming weeks, however, it currently contains details regarding the critical path items of Funding, Service, Billing Categories, Line Items, Fees, and Treatments.

Support At Home - Your Config Workbook

As an optional step you may want to get an extract of your current configurations in the system. This will output the config per what is set up into an excel format similar to the config workbook above. This will help with planning particularly if you need to plan migrations.  



Support At Home - Subscribe for Weekly Project Webinar Series Support

Commencing this week, we will start running weekly webinar series for those who sign up to the paid Weekly Project Webinar Series. These webinars will cover granular detail on steps to take, how to plan out your config changes, early access to information and training on new functionality, as well as scenario based Q&A that will help your project team with completing the required steps for the transition. Below is an outline of the upcoming sessions: 




Support At Home - Subscribe for Group Training Webinar Program

Guide documents will be published as new functionality becomes available in the system, however, many organisations are requesting for additional training. To effectively deliver this across a large number of organisations, we will be offering a group training program in a webinar style format in late May/Early June. 

Spanning 2-3 weeks, the webinar training format will cover end to end what you need to know to operate effectively under Support at Home using CareVision. Each organisation that opts in will also receive four 1-hour, one-one sessions with the trainer to cover your teams specific scenarios or follow up items. 



Support At Home - Sign Up for Funding Source Migration Support

Some organisations will effectively set these up and go through a quote process to transition each client individually to the Support At Home Funding structure. However, some have asked for our assistance to do this. We can do this on a time and materials basis, with a starting price of $750 per organization. This process will do the base migration of funding sources, end dating HCP funding sources, and establishing the updated default funding source. Organisations that opt in for this will also need to review these funding sources and update them for client specific requirements.
