Set Up the Client Groups Section in the Client Profile

Setting up this section is important for capturing information that will be included in relevant forms, such as Contractor Service Agreements.

I. Set Up Group Sets

A group set is a collection of related grouping fields used to organize and categorize client information based on specific criteria. You can set up different group sets based on your organisation requirements.

In the following example, the Client Lives Alone group set is designed to capture whether a client resides alone and can include additional fields such as Client Lives With to specify other household members.

  1. In the left navigation pane, click Settings.

  1. Click Client Groups.

  1. Go to Group Sets.

  1. Click +Create Group Sets.

  1. Set the Name of Group Set field to Client Lives Alone.

  1. Specify the Description field.

  1. Tick the Minimum Data Set field.

  1. In the Additional Field For Notes section, click Add on the right.

  1. Set the Field Label to Client Lives With.

  1. Click Save.

  1. The group set appears in the group sets list.

II. Configure Client Groups

To categorize clients based on their living arrangements, create client groups within the Client Lives Alone group set:

If you want to set the Client Lives Alone field to Yes, follow these steps:

  1. Go to Client Groups.

  1. Click +Create Client Group.

  1. Set the Client Group Set field to Client Lives Alone.

  1. Set the Name field to Yes.

  1. Set the Client Group Reference based on your business requirements. This field can serve as a unique description specific to your organisation. You may also include any additional relevant information as needed.

  1. Specify a description.

  1. Click Save.

If you want to set the Client Lives Alone field to No, follow these steps:

  1. Go to Client Groups.

  1. Click +Create Client Group.

  1. Set the Client Group Set field to Client Lives Alone.

  1. Set the Name field to No.

  1. Set the Client Group Reference based on your business requirements. This field can serve as a unique description specific to your organisation. You may also include any additional relevant information as needed.

  1. Specify a description.

  1. Click Save.

III. Manage the Client Groups Section in Client Profile

  1. In the left navigation pane, click People.

  1. Click Clients.

  1. Select the relevant client.

  1. Click Client Groups.

  1. Click +Join.

  1. Set the Client Group Set field to Client Lives Alone.

  1. Set the Client Group field to either Yes or No:

  • If you set the Client Group field to Yes, set the Joined Date field to the date the client joined the group and leave the Client Lives With section blank. Then, click Save.

  • If you set the Client Group field to No, set the Joined Date field to the date the client joined the group and enter the names of the individuals the client lives with in the Client Lives With section. Then, click Save.

When a service agreement is generated, the details will indicate whether the client lives alone or with others, specifying the names of any individuals they live with.
