What is MPAS?

MPAS is short for Member Planned Attendance Schedule. It is a record created on a client profile regarding their planned attendance at events within a group they are a member of. It allows a client to be a member of the group to pre set their regular attendance at one of the event series in a group. 

On the MPAS for the group the client can also have their regular charge codes, billing rules and rsvp option set in advance, so every time the event in that series is confirmed to be happening their RSVP will be set and the booking for billing and claiming purposes would be set. 

Clients can be members of a group without having an MPAS, it allows them to be invited to any event in the group and the RSVP to be set each time individually. 

Steps in setting the Client Member Planned Attendance Schedule (MPAS)

After you have created your Group Programs, you usually create a series of events. It is important to consider your clients' usual attendance patters when creating these series of events, because they impact how a clients MPAS can be set up, as when setting an MPAS you select a series. For example, if you hold an event every day, maybe Respite Day Centre, but your clients tend to join on a specific day each week or fortnight, then you will want to set up multiple series, one for each day of the fortnight, as opposed to a daily series. This gives your team more flexibility when creating client MPAS. 

Once you have your series in place, you can add clients to your groups and proceed to add MPAS for clients with regular attendance patterns. 

With the Member Planned Attendance Schedule, the user is given the option to select from a Social Group Calendar Schedule (Series) that already exists on the Social Group, and they are unable to edit or change the schedule and are effectively adding the client as an attendee/invitee to the event schedule that is set and managed on the social group. Because of this, more granular you set your group programs schedules up, the easier it will be to set up complex attendance schedules for a client. However, most of the time a fortnightly schedule for each time the event happens on a given day is sufficient. Talk to us about the best Group Program Planned Schedules before setting them up.

i.e. If the social group has 5 x weekly events, one on each of Monday, Tuesday, Wednesday, Thursday, and Friday, then the user is given the option to select one or multiple of these already set schedules.

When the Member Planned Attendance Schedule is added to a clients profile and a start date is entered on the MPAS Form, it should check if there are any already published Social Group Calendar Schedule from the Start Date to the End Date (or if no end date, all future dates). IF there are already published Social Group Calendar Schedule events, the User should be presented with a list of them, and have the ability to tick a box on the individual events that they want the Member RSVP and Attendance Record to be created for immediately when they save the Member Planned Attendance Schedule.

You can then also set all the booking details, select billing categories, and you MUST set the Funding Source on the Booking Details for it to be recognised under the appropriate funding i.e DEX / CHSP Service.

In the example below the Member is being added to a series, but there are 3 events already confirmed, in this case the user is prompted to opt into attending these events. 


A Member can have multiple of these against their profile, i.e. one for each Social Group Calendar Schedule Item they intend to attend.

Now that the client MPAS is set up, every time that Schedule for the Group Program is published they will have an RSVP created which can be managed by the Program Manager.
