Configuration Guide: Social Groups and Group Events

The Social Groups Feature allows organisations to deliver Group Programs/Day Programs. Each Social Group have their separate list of members and staff added as well as an event calendar to manage any activity, service or event for the Social Group.

On the configuration workbook, we have a tab dedicated to setting up the Social Groups for your organisation:
  1. Title - The name of the Social Group (a text field where you can enter up to 250 characters)
  2. Subheading - A Tagline or short description (a text field where you can enter up to 250 characters)
  3. Organisation Reference (optional) - Unique ID for the Social Group (a text field where you can enter up to 40 characters)
  4. Service  - Select one service or assistance to be rendered for the Social Group. This will determine the bill/pay rules for the Events within the group.
  5. Social Group Manager - who will manage the Social Group
  6. Details - detailed information of the Social Group
  7. Colour (optional) - Colour indicator, please select a hex code from an online colour selector
  8. Target Audience - Who can join the group
  9. Attachments (Optional) - can be used to display/promote the social group within the app (Max. of 10MB Photo; 16:9 Resolution)
  10. Set Status: saved/published, SAVED is for drafted social groups. Published Social Groups are live and active for rostering and membership.



Configuring Group Events in the UI allows you to organize and manage events effectively. Follow this guide to set up and customize Group Events using the specified columns.

Steps to Configure Group Events:
Group_Name -  name of the organization, team, or category that the event is related to.
Group_Id -  This ID is used to uniquely identify and reference the group in the system. You can skip this. 

  1. Event_Name - purpose or nature of the event (a text field where you can enter up to 50 characters)
  2. Event_Manager - Assign a staff who will be responsible for managing the event
  3. Event_Description - This field should include information about the event’s objectives, agenda, key activities, and any other relevant details that provide a comprehensive overview.
  4. Location -  Specify the location where the event will take place. If the location exists on the Locations tab on the config workbook, kindly add the location name. If it's not included on the Locations Tab, please enter the address.
  5. Start_Date - Choose the date when the event will begin
  6. End_Date - Choose the date when the recurring event will conclude. You can leave this blank if this is an on-going event.
  7. Timezone - Choose the timezone that corresponds to the event's location or the timezone that will be used for scheduling.
  8. Frequency -  Define how often the event occurs. Options may include
    1. Daily - The event occurs every day
    2. Weekly - The event occurs once a week on a specific day or days
    3. Fortnightly -  The event occurs every two weeks
    4. Poly-weekly - The event occurs multiple times within a week, but not necessarily every week
    5. Monthly (Date Based) - The event occurs once a month on a specific date
  9. Occurs_On -  Specify the days or dates on which the event occurs
  10. Start_Time -  Enter the start time of the event (12-hour AM/PM format)
  11. Duration (Minutes) -  Specify the duration of the event
  12. Publish - Making the event visible and accessible to the intended audience or participants




Social Group events and social groups indicated during  the configuration will flow through to the COMMUNITY > SOCIAL GROUP section
