The following new features were introduced to improve staff leave management, making it easier to track, select, and include relevant bookings and shifts in leave applications.
For steps on creating a leave schedule for staff members, see the Leave Schedule section in the Set Up Staff Work Availability documentation.
Keywords: leave management, staff leave schedule, staff leave application, staff leave tracking, staff work availability, booking refresh button, include bookings in leave, preferred staff bookings, allocated bookings, manage staff leave, sleepover handling, leave applications, active hours calculation, sleepover booking, sleepover duration
Key features:
Added a Refresh Button to update the list of affected bookings and shifts during the selected leave period.
To use: Click the Refresh button to reload the bookings affected by the selected leave period.
2. Switch Toggle to Show/Hide Bookings and Shifts with Preferred Staff
Added a Switch Toggle to show or hide bookings and shifts with preferred staff during a leave period. Under the Allocated Bookings on Time of Leave section:
If you turn on the toggle Show Preferred Staff Bookings & Shifts, bookings and shifts involving preferred staff during the leave period will be displayed. This provides a clear overview of impacted days, allowing you to easily add them to the leave application and arrange coverage for affected bookings and shifts.
Items with a client name are pulled from care plan items, while items without a client name are pulled from shift patterns.
3. Checkbox for Including Specific Bookings or Shifts in Leave Application
Added a checkbox next to each allocated booking or shift, allowing users to include specific bookings or shifts in a leave application.
To use: Tick the checkbox next to any bookings or shifts you want to include in the leave application.
4. New Label Displaying Total Number of Hours per Day for Overnight Leaves
Added a new label to display the total number of hours per day (per row) for overnight leaves only. This provides users with a clear summary of hours for each overnight leave.
5. Note Added for Leave End Time Spanning to the Next Day
Added a note if the leave end time might already be for the next day. This helps prevent confusion and potential scheduling errors by alerting users to possible overnight leave scenarios.
6. Ability to Change Number of Hours in Overnight Leave Scenarios
Added the ability for users to change the number of hours in overnight leave scenarios. This gave users flexibility to record and adjust leave durations that span across days.
7. Display of Allocated Bookings with Sleepover During Leave
Added display of allocated bookings during the time of leave for all bookings with sleepover.
8. Moon Icon Added Beside Booking ID for Sleepover Bookings
Added a moon icon beside the booking ID to make it easier to visually identify staff leave on days with sleepover bookings. This helps coordinators quickly identify and reallocate sleepover bookings as needed.

9. Sleepover Handling in Leave Applications
The system splits sleepovers for leave applications, meaning the allocated sleepover booking is split into active and inactive (sleepover) periods, with the sleep time automatically subtracted and only the active periods added to the leave record.
When a staff member has an allocated sleepover booking during their leave, the leave application should split the booking into two time blocks.
For example, if a staff member has a sleepover booking (indicated by a moon icon) from 9 p.m. to 9:45 a.m., the system will divide the booking accordingly.
After you click the box to select a specific booking, it will automatically be added to the leave application, under the Select Days section.
We recommend double-checking your booking details including the booking start time, duration, sleepover start time, and sleepover duration. The system uses this information to calculate the total leave hours requested, so providing correct information will help ensure your leave hours are accurately calculated.
- The first block covers the active time before the sleep period (9 p.m. to 10 p.m.).
- The second block covers the active time after the sleep period ends (6 a.m. to 9:45 a.m.).
- For this example, the leave application will request 4.75 hours. Only the active working hours are included. The standard 8-hour sleepover is excluded from the calculation.
Total hours requested for leave:
1 hour (active time) + 3.75 hours (active time) = 4.75 hours
By splitting the sleepover, only the active time is added to the leave application, preventing over- or underpayment and reducing manual adjustments.
These are the key updates developed to enhance staff leave management and simplify the leave application process. For further assistance or questions, contact the CareVision Support Team.
