Set Up Staff Member's Detailed Profile

Accurate and complete staff profiles are essential for effective team management and quality care delivery. After creating a staff profile, you may need to update it with additional details to ensure all information is current.

The Detailed Profile section of a staff member’s profile contains essential information that is linked to other workflows such as scheduling and payroll. We recommend completing all fields as accurately and thoroughly as possible to avoid missing information or issues in related processes.

Follow the steps below to ensure the profile is set up correctly:

  1. In the left menu bar, click People.

  1. Click Teams.

  1. Select the staff member whose profile you want to update.

  1. Click the Detailed Profile section.

  1. Review to ensure all information entered in the fields is correct. You can update existing fields or complete any blank fields to finalize.

Field

Description

Salutation

Formal title or greeting associated with the staff member (Mr, Ms, Dr).

First Name

The staff member’s given name.

Middle Name

The staff member’s middle name, if applicable.

Last Name

The staff member’s family or surname.

Nickname

Preferred informal name or alias for the staff member.

Birthday

Date of birth of the staff member.

Language

Primary language spoken by the staff member.

Gender

Gender of the staff member.

Employee Number

Unique employee identifier assigned by the organisation.

Staff Manager

Designated manager or supervisor for the staff member.

Employment Start Date

Enter the date the staff member officially begins employment.

Employment End Date

Enter the date the staff member’s engagement is set to end.

Payroll Employee ID

Identifier used for payroll processing.

Termination Reason

The reason for ending the staff member’s engagement for future reference, if applicable.

Security Role

Defines the staff member’s access level and permissions within CareVision.

Active Circle Security Role

Security role assigned for the staff member’s active circle scope.

Inactive Circle Security Role

Security role assigned for the staff member’s inactive circle scope.

Role

Specific job title or function of the staff member, distinct from Security Role.

Organisation Global Reference ID for Staff

Organisation-wide unique reference identifier for the staff member.

Departments

Department within the organisation to which the staff member is affiliated.

Onboarding Status

Select the onboarding status from the dropdown: No onboarding status yet, Onboarding, Skipped onboarding, or Ready for Work.

Landline

Landline telephone number for the staff member.

Mobile

Mobile phone number for the staff member.

Contact Alerts

Preferred method for receiving urgent notifications, such as SMS, email, or phone call.

Emergency Number

Phone number to be used in case of emergencies.

Work Email

Official email address used for work communications.

Skype

The staff member’s Skype username for communication. (Note: Skype was officially retired on May 5, 2025.)

Contactable via Email

Indicates if the staff member can be contacted via email.

Contactable via SMS

Indicates if the staff member can be contacted via SMS.

Contactable via Phone Call

Indicates if the staff member can be contacted via phone call.

Contactable via Post

Indicates if the staff member can be contacted via postal mail.

Unit Number

Unit or apartment number of the staff member’s home address.

Street Number

Street number component of the staff member’s home address.

Street Name

Name of the street for the staff member’s home address.

Suburb

Suburb or locality of the staff member’s home address.

State

State or territory where the staff member resides.

Country

Country of residence for the staff member.

Postcode

Postal code for the staff member’s home address.

Regions

Geographic region associated with the staff member’s role or responsibilities.

Timezone

Time zone applicable to the staff member’s location.

Work Phone

Enter the primary phone number used for work-related calls.

Work Mobile

Enter the mobile number for work-related contact.

Work Fax

Enter the fax number for sending or receiving work documents.

Work State

Enter or select the state or region where the staff member is based for work purposes.

Personal Email

Enter the personal email address for backup communication.

Do not send to CareVision Payroll

Option to exclude the staff profile from being sent to CareVision Payroll or synced with third-party platforms.

  1. Click Save Changes to store the latest information in the staff member’s profile.
