What is Leave Eligibility and what happens when I turn it on?

What is Leave Eligibility?

This setting, if turned on, checks if the staff who wants to apply for leave is entitled or allowed to have a specific type leave or not and only displays to them the types of leave they are eligible for. 

Why is this setting important?

All staff in the organization are entitled to staff leave types based on their work patterns. For instance, full time staffs will be entitled to annual leave while the casuals might only be entitled to emergency leaves. Turning on the Leave Eligibility selection ensures that all staff members within the organisation are able to take leave and that they will be able to view only their applicable leave types. 

Under the circumstances that this setting is not turned on, staff members will be able to view all the staff leave types that have been configured in the system. With the aforementioned example, the casual staffs will also be able to view the annual leave that might only be entitled for the full time staff. Having this selection when staff members are applying for leave might cause confusion, as they might be unsure of their leave entitlements.

How to enable Leave Eligibility on Organisational Level?

1. Navigate to Settings → General Config.



2. Scroll down up to Leave Eligibility. If you are struggling to find this you can click the Control Key and the F Key on your keyboard to open the browser search and search for the term. 

3. Change the possition of the slider to enable the Enforce Leave Eligibility as shown below

4. Click save button. 






How to check if the displayed leave types are eligible for the specific staff?


1. Check first if there is at least one active entry on Staff Pay Details section from Staff Profile. Staff Pay Details contains the Work Pattern, Job Classification, and Effective From which is used as a criteria for checking whether a specific leave type is eligible for specific staff.

2. To check if there is at least one active entry on Staff Pay Details section, navigate to Staff Profile  → Staff Pay Details. 



3. If there's no active entry under Staff Pay Details, create one that is suitable for this staff.



4. To check if there are Leave Types that are being displayed, go to Staff Profile  → Work Availability  Leave Schedule.

5. The aforementioned example of Staff Pay Details will be used as a criteria to check whether the staff is qualified for a leave or not. Since this staff has a specified Staff Pay Details, the leave types must be displayed assuming that we have created leave type with work pattern Full Time.




6. Upon navigating to other staff that has no Staff Pay Details, Leave Types will not be displayed when creating a new leave.



7. When you disabled the Leave Eligibility from Settings → General Config, all leave types configured for the organisation will be displayed even though there is no Staff Pay Details present on a staff.
