TechOne Accounts Receivable Client Sync

This topic describes the client sync between TechOne and CareVision. This allows you to maintain accurate records, ensure correct Debtor Account ID assignment, and reduce manual work across both platforms.

This document guides you through the integration process, from initial setup to account management.

Step-by-step process

I. Prerequisites

  1. Contact the CareVision support team to request TechOne integration.

  2. Submit your TechOne credentials to CareVision to enable configuration of the connection parameters.

  3. CareVision adds your credentials to the Parameter Store.

II. Manage Funding Sources

This section describes how to set up Funding Type References to organize funding sources and control whether debtor accounts sync with TechOne.

By default, accounts will sync automatically during integration, but if you do not want to sync a debtor account with TechOne, you can change the settings for that Funding Type Reference. This ensures each funding source is properly categorized and gives you clear control over account syncing.

  1. Go to Settings, then click Funding Sources.

  1. Click Create Funding Type Reference to add a new Funding Type Reference.

  1. In the form, specify the Funding Type Reference field.

  1. Control Account Sync with TechOne by Funding Type Reference

  • If you want an account with the specific Funding Type Reference to sync with TechOne, leave the Don’t create debtor account in TechOne checkbox unticked.

  • If you do not want the account with the specific Funding Type Reference to sync with TechOne, tick the Don’t create debtor account in TechOne checkbox.

  1. Below the form, review the list of existing Funding Source Type References. For each existing Funding Source Type Reference, use the toggle on the right:

  • If you want the account with the specific Funding Source Type Reference to sync with TechOne, turn off the Don’t create debtor account in TechOne toggle.

  • If you do not want the account with the specific Funding Source Type Reference to sync with TechOne, turn on the Don’t create debtor account in TechOne toggle.

  1. Then, click Save. When you assign this funding source type reference to a client, the selected settings will apply.

III. Integrate TechOne with CareVision

  1. Log in to your CareVision Account.

  1. Go to Settings and click Integrations.

  1. Click Link My Account under Tech One Account Receivables.

  1. Click Link My Account under Tech One HRP.

  1. Wait until the following message is displayed:

  1. If the following error message is displayed, this may mean the selected organization has not been whitelisted or added to the Parameter Store.

To resolve the error:

  • Ensure the organization is whitelisted and included in the Parameter Store. Contact the CareVision support team to check this.

  • After the organization is whitelisted, retry the integration by clicking the Go back to Integration Page link.

  1. To confirm the integration, click the Go back to Integration Page link.

  1. If integration is successful, the Disconnect My Account option is displayed under both the Tech One Account Receivables and Tech One HRP sections.

IV. Verify Initial Client Sync

After integrating TechOne with your organization’s account, confirm whether the client list has been synchronized as expected.

A. Verify Through Debtor Accounts in CareVision

  1. In the left menu, go to Actions and click Debtor Accounts.

  1. The Debtor Accounts section will display the list of clients associated with the organization.

  1. Check the Debtor Account ID column to confirm that each client’s Debtor Account ID matches the corresponding record in TechOne.

  1. If a client’s Debtor Account ID is blank or the Status is set to Inactive, verify whether the client’s funding type is supported in TechOne.

  1. Update the funding type and click the link icon on the Actions column to link the account.

  1. The status details are displayed. Verify that the details are correct, then click Confirm.

B. Verify Through Debtor Accounts in TechOne

  1. Go to the TechOne Platform and select Debtor Accounts.

  1. View an account and check if the details match the client’s information in CareVision.

V. Create Client Profile  

A. Add New Client

This section describes how to create a client profile, which is necessary because every funding source and Debtor Account ID must be linked to a specific client.

  1. In the left menu, click People, then select Clients.

  1. Click +Create New Client.

  1. Enter all required client details. In this example, the new client created is Anton Blake.

  1. Click Save to create the client profile.

B. Generate a Quote

After the client is added, generate a quote that outlines the proposed services and associated costs, and add the relevant funding to the quote.

C. Add Funding to the Quote

This section describes another method to add a funding source to a client profile. The standard process, as described in the linked documentation above, is to include funding when generating a quote. The funding source will then be automatically added to the client profile once the quote is accepted.

  1. In the left menu, select People, click Clients, and then select the desired client. In this example, Anton Blake is selected, and a funding source will be created for the client.

  1. Click Funding Sources.

  1. Click +Create New Funding Item.

  1. Enter all required information in the Create New Funding Source form.

  1. At this stage, the Debtor Account ID field is blank. It will be automatically populated after you complete all required fields and click Save.

  1. Click Save to create the funding source.

  1. After creating the new funding source, verify that the Debtor Account ID field has been populated as expected. In this example, the Debtor Account ID field for the client Anton Blake has been populated.


Notes
  1. The Debtor Account ID will be generated only after the status of the newly created account is set to Active.
  2. The Debtor Account ID is unique for each client and funding type.
  3. Multiple funding sources with the same Funding Type Reference share the same Debtor Account ID.

VI. Troubleshooting

Below is a summary table outlining common integration issues between CareVision and TechOne, their possible causes, and recommended solutions.

Issue

Possible Cause

Solution

Debtor Account ID Not Generated

A limitation within the TechOne platform may prevent the generation of a debtor account.

Contact the TechOne support team, as this issue has previously been resolved by resetting the TechOne database.

Funding sources created while the CHSP toggle is turned off do not sync with TechOne

The CHSP integration is turned off, so syncing is disabled during this period.

After CHSP is turned back on, review funding sources created while it was off and manually sync or re-create them in TechOne if necessary. Existing linked sources are not affected.

New Funding Type Reference is not available in TechOne

The newly introduced Funding Type Reference has not yet been added to TechOne.

Contact the CareVision support team to request the addition of the new Funding Type Reference. CareVision will coordinate with TechOne to have it added.

Updates made in CareVision are not syncing to TechOne

Syncing of updated records from CareVision to TechOne has not been implemented yet.

No action is required, as updates in CareVision do not currently sync to TechOne.

(Optional) Verify Client in Debtor Accounts

  1. In CareVision, go to Actions and click Debtor Accounts to confirm that the new client and their debtor account ID appear. In this example, the client Anton Blake successfully appears in the Debtor Accounts list with a Debtor Account ID, and the status is set to Active.

  1. In the TechOne Platform, verify that the client exists in Debtor Accounts.
