FAQ: How to Setup Social Groups in CareVision?

OVERVIEW

Organisations that offer group programs to promote social and community participation will reap the benefits of CareVision's Social Groups module. 
CareVision allows the organisations to create social groups to cater to the care recipients' supports and interest.
The Social Group feature is also used for creating accommodations such as SIL and SDAs under the NDIS.

CREATING SOCIAL GROUPS

1. Main Menu > Community > Social Groups

 

2. Top-right corner > Click +NEW SOCIAL GROUP button


Fill out:
  1. Title - what will the Event be called
  2. Subheading - very short description
  3. Organisation Reference (optional)
  4. Service (could be Transport or the likes) - services or assistance rendered on the Social Group for events.
  5. Social Group Manager - who will manage the Social Group
  6. Details - detailed information of the Social Group
  7. Colour (optional)
  8. Target Audience 
  9. Attachments (Optional) - can be used to upload relevant images of the Social Group
  10. Set Status: saved/published

 


 If you did not select Set Status: published, the Social Group will be saved on the upper-left dropdown > All Archived Social Groups section, otherwise, it will appear on All Active Social Groups section



Make sure to switch the Social Group to Set Status: published, this is for you to be able to proceed on Adding Members to Social Group.


 

ADDING MEMBERS TO SOCIAL GROUP


  1. Main Menu > Community > Social Groups

    1. Upper-left dropdown > All Active Social Groups section.

    1. Look for the Social Group you created > Click to continue setup

    1. Right-hand side > Members dropdown

      1. Click Add Circles button

        1. Select clients you'd like to be a part of the Social Group club by marking them

        1. Click the Add button to add selected members


INVITING PEOPLE (STAFF) TO SOCIAL GROUPS


  1. Main Menu > Community > Social Groups

    1. Upper-left dropdown > All Active Social Groups section.

    1. Look for the Social Group you created > Click to continue setup

    1. Right-hand side > INVITED dropdown

      1. Click on the Invite People button

        1. Search People

        1. From Different Social Group - this will add all invited people from another social group to your new group.

        1. Lower-right hand side of the window, click Invite

 

ADDING VOLUNTEERS


  1. Main Menu > Community > Social Groups

    1. Upper-left dropdown > All Active Social Groups section.

    1. Look for the Social Group you created > Click to continue setup

    1. Right-hand side > VOLUNTEERS dropdown

      1. Click on the Invite Volunteer button

        1. The selection would be from the People > Volunteers sections of CareVision

        1. Select volunteer

        1. Click the Add button

 

CALENDAR


  1. This where you can view the upcoming or recurring events plotted.

  1. Also where you can Create an Event

 

CREATING AN EVENT


  1. Calendar dropdown > Upper-middle of the screen > Click Create an Event button

    1. Event Name

    1. Event Manager

    1. Event Description

    1. Location and Logistics

    1. Schedule and Resources

    1. Upload Photos

    1. Don't forget to click Save once done setting up an Event

  1. Publishing the Event

            

    1. Calendar > Look for the Event created > Click on the Event

      1. Click the Publish button

      1. Once Published, the Event should be available to client's profile.

 

ADDING CLIENT AS ATTENDEES FOR THE EVENT


Once Event is Published, the Event should be available to client's profile.
  1. People > Client Profile > Social Groups dropdown

    1. Click the Add Schedule button

            

                  

      1. Schedule (Event) - select an event that the client want to be a part of.

      1. Start Date/End Date - If Event not recurring, just select the Event date.

      1. Default RSVP - this is for the client's attendance status on the upcoming event.

      1. Already Published Events - if there have been any other events that the client participated.

      1. Booking Details

        1. Can Use Default Funding Source of client

        1. Set a break

      1. Billing Categories and Funding Sources

        1. Select what is necessary and applicable to Event

      1. Dont' forget to click Save once done.
