More Options for Payroll Contract Hour Handling
- Organisations can now choose how they handle their permanent and part time staff pay period contract hours.
- In line with the awards your staff will need to accept their shift bookings published to them
- You will be able to turn on 'dynamic' shifting of contract hours based on staff acceptance of schedule changes
- This will allow for the minimum contract hours to be met in the period while also automating the 'movement' of contract hours based on staff acceptance of published shifts
Display Count of Contract Hours vs Scheduled Hours on Scheduling
- You will now see a count of the number of hours scheduled vs a staff members total contract hours in a period after you click validate
- This setting works regardless of if you have the payroll modules enabled
- You will need to have staff pay details set up and pay period defined for this to work, and staff should have their contract hours set up
- Its currently hidden in the staff details so click on their profile photo to learn more, we will move it to a more visible place soon
More Options for Payroll Leave Settings
- Previously Leave would Only Export when it overlapped with Contract Hours - This was by design to prevent staff booking leave outside of their contract times
- After feedback we have identified that a number of providers rather allow for staff to cash out their leave allowing them to take their break and also return to work sooner. i.e. if someone works 2 days a week and has 10 days leave they would previously have had to take it over 5 weeks, however many organisations need staff back soon as possible so would rather pay the 10 days leave out over a 2 week period.
- To avail of this option you will need to set up an organisation rule to allow for leave to be flexible. Once this is enabled you will be able to select at each leave request how this item is going to be paid out, if it will ignore contract hours and pay as scheduled or you can leave it to respect contract hours.

Service Review Board Overhaul Updates Based on Your Feedback
- Update to the fetching of service review data based on the selected approval status to allow for OR
- Update to the Date Range Selection to include a refresh button and allow user to complete the settings that they want before fetching the latest data
- Update to the view location of booking check in vs booking start location link to make it easier to click on in some screen resolutions
- Update to the service review calculation of sleepovers
Scheduling Area UI / UX Enhancements
- We have started rolling out a series of UI / UX enhancements to scheduling
- Improved use of vertical and horizontal space allowing for more detail to be visible on the screen

Allow Org to Set Income Code and Cost Code Validation Rules and Prevent Mismatch Combinations
- CareVision allows for very dynamic cost code and income code tracking at a funding source - Billing Category combination level.
- Historically this has caused some issues / complexity when exporting to 3rd party payroll and finance systems when someone books a client in with a not supported combination
- Now with this change you can upload an allowed list of income codes and cost codes
- You can also now choose to either ignore, warn or block if a staff member tries to book a shift with an invalid combination
- You can also set to ignore, warn or block if a staff member tries to add a funding source - Service - Billing category combination which is upstream to bookings and should prevent booking services with an invalid combination
- Warnings will appear on Funding Sources, Ad Hoc Bookings, Care Plans and Publishing on the Scheduling Area.
- We suggest starting with a Warning system and upgrading to a Block Setting once compliance is achieved at the care plan level
Minor Fixes and Improvements
- Mobile Accept Job Offer Improve Speed and UI Workflow
- Mobile Check In - When you check into a booking but you are already checked into another booking a modal screen will appear asking you if you want to check out of the last booking, it will then check you out of it if you select yes, allowing you to check into the current one.
- Mobile - Reset Password - Improve the wording of the success message
- Mobile - Improve placement of some accept buttons when the mobile resolution is zoomed
- Mobile - Change the way that task completion is marked off on a booking to improve success of saving it with the booking check out
- Mobile - Add local notification if trip is longer than 30 mins. Also add a notification that if someone is still in same location for 10 mins it will check them out of the trip

- On Quotes allow user to check a box to make the selected funding source the default, note only allowed to select one and if an existing funding is set to default it will end date the previous default and create a new one once the quote is accepted.
- On Quote include the opening balance and update the totals and balances based on the opening balance from date
- When quote is accepted and funding source is generated default the debtor reference to the standard
- On quotes apply the same default line items per the service settings area
- On quote apply the client group treatments to the calculations for more accurate calculations of GST and also other Group Treatments
- On Quotes for existing client services allow for the sleepover times and status to be editable
- Allow client support plan to be printed from the system even if client does not yet have a recurring care plan
- Notes - Allow uploading .msg email type files to notes
- Deleted case notes sorting on list updated
- Added new filters to the case notes action board including care manager, rostering manager, business development manager, edited notes and deleted notes
- New Permissions relating to Who can Edit and Delete notes so that users can ONLY edit a note that THEY created
- Allow child branches to create leave types for their own branch and use them for their staff
- Support for deleting staff leave with new permission added to coordinator role
- Improve default locations and country on bookings
- Ensure Archived Leave Type is Not accessible to be used for a new leave submission.
- Client Calendar Print Out to exclude cancelled bookings
- Update to PDF and CSV Export of Teams to Include Departments where the staff member is in multiple
- All Booking Export updated to convert date and time per the selected time when exporting
- Social Group Events - Cancelling an event will also update all underlying ad hoc bookings with the same cancellation reason and associated bill / pay settings for the booking, if you then un-cancel it they will also be uncancelled and previous RSVP status retained
- Remove duplicate rate override field on quote fees
- Client Leave from Action Board updated to save client ID and display on client profile
- Xero Sleepover Billing Export Updated
